INTRODUCTION

ETH Safety Limited only ever collects, stores and uses client (or business to business) data with the data owner’s full knowledge and consent. We never pass private data to any third party unless it is for legitimate and expressly or contractually agreed purposes. This has always been our policy, and despite the slightly more complex requirements of GDPR will remain the core of how we operate for you.

We are committed to protecting and respecting your privacy. We will treat personal or business information lawfully and, in a manner, which is in accordance with the Principles of the EU General Data Protection Regulations 2018 (GDPR) and all other data protection legislation currently in force.

As with all businesses our professionalism and effectiveness rely on the staff being aware, trained, and competent to manage the day-to-day application of data management and security. To this end, our staff are receiving in-house training in the appropriate management of client data.

This Privacy Notice contains information regarding how we collect and use personal data or personal information about you to protect the privacy and security of your personal information.

PROFESSIONAL SERVICES TO CLIENTS

ETH Safety Limited offer various services including but not limited to Health and Safety, Principal Designer and Client CDM Advisor.

We must keep the details of the individuals (and companies) who have requested the service to provide it; however, we only use these details to provide the service requested, such as (but not limited to);

-Health and safety risk management on construction projects.

-Technical reporting.

-Managing flow of information on projects.

-Day-to-day project communication and client management.

HOW LONG DO WE HOLD DATA FOR?

When you request our services and we perform what is required, we will maintain the information in our systems until the client relationship has ended. However, some data (employees training records and names) collected on behalf of our client to enable us to assess contractors’ health and safety competence would be permanently deleted from our database at the end of the project or just after the assessment process.

Where a contractor is on a framework agreement with our client, such data may be securely saved on our cloud system (provided by Microsoft) with restricted access (i.e. a combination of PIN and password and two-factor authentication) until there is a need to continue to retain it.

PERSONAL INFORMATION THAT THE ETH SAFETY LIMITED WEBSITE COLLECTS, WHY WE COLLECT IT AND HOW WE MAY USE IT?

You can visit ETH Safety’s website without revealing your identity or giving us any personal data about yourself. We may collect personal information from you when submitted voluntarily by yourself, however where required to comply with the principles of GDPR, we will seek consent to retain this information to enable us to respond to the enquiry.

We assure you we do not collect more information than what we need to fulfil our business enquiry and will not retain it for longer than necessary until client relationship has ended.

What data do we hold?

  • Business address, telephone numbers, email addresses.
  • Images of your property and/or works we have carried out for you.

What consent do we have?

  • To date, you have consented through our schedule of professional services agreement we have issued to you.
  •  In future we will require your separate permission to hold and use such data.

How do we store the data?

  • We store your data in a bespoke and secure database, situated on Microsoft cloud server.
  •  Our database incorporates several levels of password protected, PIN access and second authentication factor.

How do we use the data?

  • We only use your data as part of our express or contractual activities with our client, most of which you will be fully aware of as they include health and safety competence assessment, site inspection (taking instance photographic evidence for either safe or unsafe act) or services on your behalf.
  • If we ever use your data for marketing purposes (e.g. the name of your business or property or project photographs) we will always seek your consent first.
